What Happened
I redesigned the integration setup experience for an enterprise CRM platform to improve clarity, reduce friction, and support users in configuring complex data connections. The project focused on simplifying field mapping, credit estimate setup, and related flows to make onboarding more intuitive and reliable.
Role
UX/UI Design
What I Did
Identified pain points in existing flows, introduced structured layouts, inline guidance, and instant feedback, then prototyped and iterated to improve usability and scalability.

background
The previous experience involved hidden defaults, unclear credit usage rules, and little guidance leading to frequent user errors and unnecessary support tickets.
Key Problems Identified
Unclear Field Mapping Structure
Users had difficulty understanding where they were in the setup flow and what needed to be done next.
Lack of Feedback
No clear indicators of what data was matched, unmatched, or required review.
No Error Prevention
Users could save incomplete or invalid mappings without being alerted.
Ambiguity in Usage Info
Users had no easy way to see if they were exceeding plan limits or using fields inefficiently.
Focus
Clarifying Complexity, Empowering Users
Make the complex intuitive by surfacing structure and progressive guidance
Empower users through contextual clarity and feedback
Design for real workflows, not just edge cases
Design Solutions
By breaking down overwhelming configuration screens into clear, structured flows, I aimed to reduce friction and build confidence for users managing high-stakes integrations.
Clear Information Architecture
I broke down the complex form into digestible sections using visual grouping and progressive disclosure. This reduced cognitive load and made each step easier to follow.

Inline Help & Smart Defaults
Added tooltips and contextual info directly next to tricky fields.
Set smart defaults based on sync direction
Write-only doesn’t allow auto-sync (no use case for it).
Two-way enables conflict resolution settings.
These defaults prevent errors and reduce the need for guesswork.

Visual Credit Indicators
Introduced real-time feedback on expected credit usage.
A warning icon alerts users if usage exceeds their plan.
Tooltips explain the reason and next steps eliminating the need for user support.

Real-Time Sync Feedback
Dynamic progress indicators were added to show sync status from start to success.
This gives users confidence and makes the system feel more reliable.

Impact
This redesign improves:
Clarity: Users understand what’s happening at each stage.
Control: Users can confidently review and correct field mappings.
Efficiency: Smart suggestions reduce manual effort.
Trust: Usage transparency helps users feel more in control of their plan and spending.
reflection
Through this project, I learned the importance of visual hierarchy and contextual feedback in complex enterprise tools. Redesigning the CRM integration setup revealed how intuitive data visualization such as progress indicators and field mapping previews can greatly reduce user friction and cognitive load. I focused on designing with clarity, modularity, and adaptability in mind, ensuring each step of the setup flow provided instant validation and guidance. This experience reinforced my belief that enterprise UX should not sacrifice usability for complexity; thoughtful design can empower users to confidently navigate even the most technical workflows.
